What to Look for in Retail Billing and ERP Software: A Checklist for Indian Shops

Choosing software for your shop is a big decision. You will use it every day, your staff will use it at the busiest hour, and your accounts will depend on it. A wrong choice means slow billing, wrong stock and a messy GST month.

Use this checklist to compare any billing or ERP software before you decide. Ask each question, try it in the free trial, and only then commit.

1. Is billing fast at a busy counter?

Billing speed decides how long your queue is. Look for:

  • Voice billing, so you can speak items and quantities instead of typing
  • Barcode scanning with a phone camera or scanner
  • GST and non-GST bills with the right HSN and tax rate
  • Sharing on WhatsApp or printing in one tap

2. Does stock update by itself?

If you still count stock by hand, the software is not doing its job. Every sale and every purchase should update stock automatically. You should get low-stock alerts and see which items sell fast and which sit on the shelf.

3. Can it manage credit (udhaar) and collections?

Most Indian shops sell on credit. Good software keeps a khata for every customer, adds credit sales to it automatically and sends polite WhatsApp payment reminders.

4. Will your GST data be ready every month?

The software should prepare GSTR-1, GSTR-3B and e-way bill data from the bills you already make, and help you match supplier invoices with GSTR-2B so input credit is not missed. You or your CA should only need to review and file.

5. Does it tell you what to do, not just show charts?

Reports are useful only if you read them. Look for software that explains your week in plain words: what changed, what to do next and what to watch out for.

6. Can your customers order online without commission?

More buyers now want to order on their phone. Check whether you can get your own online store, shared by link or QR code, without paying a commission on every order. If you sell to retailers or dealers, check that each buyer can see their own price list or scheme.

7. Is it easy for everyone in the shop?

  • Works on the web, Android and iPhone
  • Works in Hindi as well as English
  • Your staff can start billing on day one without long training

8. Is your data safe and in your control?

Your data should be stored in the cloud, not only on one phone, so a lost device does not mean lost records. Ask whether you can give staff limited access and export your data.

9. Can it grow with you?

Today you may have one counter. Tomorrow you may have salesmen, vans and more buyers. Choose software that can add these without forcing you to change everything later.
